Privacy Policy

Last updated: August 31, 2026

Notice at collection: Pool Project collects the information described below to evaluate and deliver your requested pool-company introduction, operate and secure the service, measure marketing performance, and keep required consent records. A matched pool company may pay us for the introduction.

1. Scope and operator

This policy describes how Pool Project ("Pool Project," "we," "us," or "our") handles personal information when you visit this website, submit a project request, or communicate with us. Pool Project is an independent marketing and matching service, not a pool contractor.

2. Information we collect

  • Project and property details: project type, ZIP code, timing, property and ownership context, preferred pool type, site access, approximate size, budget, financing interest, desired features, planning stage, HOA status, and project description.
  • Contact details: name, telephone number, email address, and preferred contact method.
  • Consent and transaction records: submission ID, date and time, the disclosure shown when you submitted, and your affirmative agreement.
  • Technical information: IP address, browser or device information, page requests, timestamps, referral information, and security logs that our hosting and security providers may receive automatically.

Please do not include Social Security numbers, payment-card or bank details, passwords, government identifiers, or other information the form does not request.

3. Sources of information

We receive information directly from you, automatically from your browser and our infrastructure providers, and from advertising or referral partners when a campaign or referral parameter identifies how you reached the site.

4. How we use information

We use personal information to:

  • review, score, route, and respond to your project request;
  • identify a pool company that may fit the project;
  • make the introduction and support related communications;
  • operate, troubleshoot, secure, and improve the website;
  • measure campaign and service performance and prevent fraud; and
  • maintain records, enforce our terms, and comply with law.

5. How we disclose information

At your direction, we may disclose your request and contact details to one pool company at a time so it can evaluate and respond to the project. That company is an independent business and handles the information it receives under its own privacy practices.

We may also disclose information to vendors that provide hosting, security, communications, analytics, lead delivery, and other operational services; to professional advisers; when required by law or needed to protect rights and safety; or in connection with a merger, financing, sale, or transfer of all or part of the service. We do not publish homeowner requests.

6. Compensated introductions

A participating pool company may pay Pool Project for an introduction. Depending on the law where you live, disclosing a lead in exchange for compensation may be considered a "sale" of personal data even though you requested the introduction. We do not disclose your request to unrelated data brokers or a list of pool companies. If you do not want the requested disclosure, do not submit the form. After submission, you may contact us to request that later disclosures stop; we may not be able to retrieve information already delivered to a company.

7. Cookies and similar technology

The website and its infrastructure may use essential storage or similar technology for security, fraud prevention, preferences, and reliable operation. If advertising or analytics technology is added, this policy and any legally required consent controls will be updated before it is used.

8. Retention and security

We retain information only as long as reasonably necessary for the purposes above, including delivery of the request, consent and audit records, fraud prevention, dispute resolution, and legal compliance. Retention periods vary by record type. We use administrative, technical, and organizational safeguards appropriate to the nature of the information, but no system is completely secure.

9. Communication choices

You may ask us or the matched pool company to stop marketing calls or emails. For texts, reply STOP when that option is provided. A request to stop future communications does not undo processing already completed at your direction.

10. U.S. state privacy rights

Depending on your state and whether the applicable law covers us, you may have rights to request access, correction, deletion, or a portable copy of personal information; to opt out of certain sales, targeted advertising, or profiling; to limit certain uses of sensitive data; and to appeal a denied request. You will not be discriminated against for exercising a privacy right.

We may need to verify your identity and request before responding. An authorized agent may submit a request where allowed by law, subject to proof of authority and identity verification. We do not offer a financial incentive for personal information.

11. Children

The service is intended for adults and is not directed to children under 18. We do not knowingly collect personal information from children through the project form.

12. Third-party services and changes

This policy does not govern a matched company or a third-party site. We may update this policy as the service or law changes. The date above identifies the current version; material changes will be presented as required by law.

13. Contact us

For privacy questions or requests, email privacy@poolproject.ai. Describe the request and the email address or phone number used in your submission. Do not send additional sensitive information.
